How to Plan an Oʻahu Wedding Weekend: A Three-Day Itinerary

By Hauʻolilani Hiers (Hauʻoli) · Oʻahu wedding planner and author of Hawaiian Bliss: the Ultimate Wedding Destination

Aloha, I’m Hauʻoli. When you imagine your Hawaiʻi wedding, you probably picture the moment you say “I do.” But I also love the moments around it: the first hugs when everyone arrives, a meal that brings your favorite people together, and the chance to slow down before the celebration begins.

In my book, Hawaiian Bliss: the Ultimate Wedding Destination, I explore choosing your setting, creating a personal wedding menu, and planning the details that help your guests feel cared for. Here’s how I’d bring those ideas into an Oʻahu wedding weekend—with a welcome-party option I’m excited to share.

Start with a welcome party at Hard Rock Cafe Honolulu

I’ve built a relationship with the team at Hard Rock Cafe Honolulu, and I’d love to explore it with you for your welcome celebration in Waikīkī. Think introductions, a relaxed toast, and time for your families and friends to get to know one another before the wedding day.

Hard Rock offers private-event options, so we can discuss the space and format that suit your group. I’ll start with your guest count, preferred date, and the atmosphere you want, then work with the venue on what’s available.

Your welcome party can have its own personality. Maybe you want an easygoing gathering where guests mingle, or a more structured meal with a few words of welcome. We’ll plan it around your priorities and your guests’ arrival times.

And yes—ask me about poke 😉

Want poke on your welcome-party menu? You have to let me know! 😉 It’s a special request I’d love to explore with the Hard Rock team as we plan your celebration. Menu options, availability, and pricing will need to be confirmed for your event.

One idea I return to in Hawaiian Bliss is that your menu should feel personal. Tell me what you love to eat, what you’d like your guests to experience, and which dishes have a connection to your story. We’ll also gather dietary requests early and discuss them with the venue before finalizing the menu.

Keep your wedding day at the center

A welcome party is an addition to your weekend; your ceremony and reception still deserve their own setting and attention. Whether you’re drawn to a lush garden, an ocean view, or an elegant indoor celebration, we’ll begin with your vision, guest count, and budget.

The practical details matter just as much as the view. Travel time between locations, guest comfort, vendor schedules, and a weather backup for outdoor plans all belong in the conversation. My goal is to give you room to enjoy the people who came to celebrate with you.

Leave room for a slow goodbye

If you’d like one more gathering, we can explore a farewell brunch. Cream Pot Cafe is a personal favorite of mine and an option I’d love to discuss, subject to availability and arrangements for your group. Brunch can be a sweet way to share stories from the night before and say your goodbyes.

You don’t have to fill every hour. Leave space for guests to rest, explore on their own, or spend time with you without another scheduled event. A thoughtful weekend can feel generous without feeling busy.

A three-day Oʻahu wedding weekend itinerary

Your weekend should give you more time with your favorite people, with enough breathing room to enjoy it. This sample itinerary is a starting point; we tailor the timing, venues, and guest list to your celebration.

Day one: welcome your guests. Plan an evening gathering after guests have had time to arrive and settle in. A Waikīkī welcome party can be convenient for guests staying nearby. Keep introductions and any welcome remarks relaxed, and make it clear whether you are hosting dinner, drinks, or light bites.

Day two: your ceremony and reception. Let your wedding day set the rhythm for the weekend. If guests are staying in Waikīkī and celebrating on the North Shore, transportation and the return journey deserve careful planning. Allow room for loading, traffic, portraits, and comfortable transitions between events. Confirm vendor access, setup, weather alternatives, and the venue’s event hours before finalizing the schedule.

Day three: a farewell brunch. Gather once more for an unhurried goodbye, with flight departures and travel time in mind. A smaller brunch may suit your closest family; an invitation to the full guest list needs a venue with confirmed capacity. Cream Pot is one option to explore, subject to group arrangements and availability.

Leave some time unscheduled. Guests should know which events are hosted, which are optional, and what transportation is provided.

What does wedding weekend planning cost?

Wedding Weekend Planning with Weddings by Hauʻoli starts at $11,000 for planning services. The starting scope includes planning for your ceremony and reception, one welcome gathering, and one farewell brunch. Your custom proposal confirms the event hours, staffing, and on-site coverage included.

Venue fees, food and beverages, rentals, floral design, entertainment, transportation, accommodations, and other vendor costs are separate. The $11,000 starting fee is not the total wedding budget or an all-inclusive venue package.

We prefer to begin at least two months before your wedding weekend. Share your plans early so we can discuss availability, complexity, and the support your celebration needs.

Thoughtful care for your guests and your privacy

Beyond the schedule, I want to understand what will help your family feel at ease. That may include accessibility needs, dietary requests, VIP arrivals, or preferences about photography and social sharing. We discuss how sensitive details should be handled and which vendor team members need them to carry out their work. Venue privacy and access arrangements are confirmed individually.

A few things to tell me before we start

  • Your wedding date or preferred date range.
  • Your estimated guest count and where guests expect to stay.
  • Which gatherings you want to host—and your overall budget.
  • Your favorite foods, dietary requests, and any must-have details.

We’ll build a proposal around the events and support you need. Planning fees are separate from venue, food, beverage, and other vendor costs; we’ll make those distinctions clear as we plan.
